NewsAugust 10, 2009The final paycheck for paras and teachers will be delivered to schools on August 6th. DO NOT distribute this final check until the last day of the Chapter 683 Program, August 14th. Documenting Excessive Absence and Lateness during chapter 683 program: Attached are 2 sample letters (one for teachers and one for paraprofessionals) for staff who have been excessively late and/or absent. Be sure to document that staff member has received and signed the letter. Have a witness sign the letter if the staff member refuses to sign. The sample teacher letter should be adapted for a teacher who is being rated unsatisfactory based on unsatisfactory observations. Be sure to include dates of observations and meetings. (See Attachments- Chapter 683 2009 U letters teachers and Chapter 683 2009 U letters Paras). U rated staff information should be submitted to Carol Silverstein to update our data base!
August 5, 2009Final Paycheck: The final paycheck for paras and teachers will be delivered to schools on August 6th. Sub para checks that came today should be distributed and not held until next week.August 3, 2009Evaluations: Please send in chapter 683 evaluations if you have not done so as yet. Pay careful attention to procedures for U rating which will be coming this week. Chapter 683 Related Service Attendance Forms: Schools are to collate all related service attendance forms by discipline and bring them to the District 75 Headquarters Office (400 First Avenue, Room 61- Data Management Office, and New York, NY) by Friday, August 14, 2009 between the hours of 12:00 noon and 3:00 p.m. Please ensure the following action has been taken: All required information has been entered on all forms which include the attendance report for the months of July and August as well as the accompanying progress report; All required signatures are affixed to the documents; All information is legible and can be read for data entry; Attendance cannot be projected for the last day if these forms are returned prior to the last day of summer school. You may maintain attendance on a separate sheet to be kept at the school; Important: Related Service Attendance Forms are not to be sent directly to SOURCECORP. They will be picked up at the District Office by SOURCECORP directly.Requests for Moving Services – Return Moves Ch 683 Program: As a result of the conclusion of this summer’s Chapter 683 program some of you may require return moves. Please make sure that you have already submitted a completed D75 Move Request Form for your return move. In the event that you have not submitted a request for your return move, please complete a D75 Move Request Form (see attached). This form should be completed in its entirety, and each move should be indicated on its own form. There is a wait list of paras in each borough. You may not hire full time paras without going through Carol Silverstein. The Registry is closed for the summer. You are to use sub central with the numbers Cathi supplied for absences,. You are not to use your regular school year paras as subs, you must use sub central.June 25, 2009Update: On Monday, June 29, Principals will receive a final Chapter 683 roster (of staff IN and OUT) that reflects all the changes and declinations you reported. The payroll tape has been submitted. Any late declinations, additions or changes you request may not be reflected on the first paychecks. If you received names of per-session staff, you should be sure to contact each name and e-mail declinations and acceptances to Carol Silverstein and Ellen Forti as soon as possible (due date was June 24). NOTE: We have several teacher vacancies in all the boroughs; if you have last-minute teachers asking for jobs, fax a clear OP 175 to Carol Silverstein or Ellen Forti at 212 802 1598. We have many more District 75 paras who applied for positions than we have openings. We are filling vacancies, by para seniority in the DOE, as openings arise. Please e-mail Carol Silverstein and Ellen Forti with any last-minute teacher or para inquiries.June 22, 2009ATS Functions: Chapter 683 Summer School manual custom created for District 75 will include the ATS functions that are available for summer, a brief description of each report and a sample of what the report will look like. Questions or comments, please email Dgong@schools.nyc.gov. Chapter 683 Summer School generic ATS userids: Each school will be assigned 10 generic ATS ids. (U1 – U5 for updates) and (R1 – R5 for read only). Principals should have received an email from Danny Gong (with userids and temporary password) on June 18, 2009. For example, for school 75M094, the generic ATS id will be 75m094u1, 75m094u2, 75m094u3, 75m094u4, 75m094u5. ORCS - Contracted Related Service Providers/Chapter 683 (Summer Tips - Summer Transmittal): On July 6th many District 75 Schools may receive a related service provider through a contracted agency. These related service providers were contracted for your organization because our DOE supervisors were unable to provide a sufficient number of DOE providers based upon projections. If a contracted provider appears at your school, please verify with Maria Leo, ORCS Director that these providers have been scheduled to be at your facility. If Maria did not send you the name of a prospective contracted related service provider in advance your call will help her track where these personnel are assigned. In addition, your DOE related service providers should have tentative schedules made up the first 2 days of summer comprised of the same students they were seeing during the school year. If community school district, related service staff are assigned to your school, they can assume the schedule of the District 75 provider who will not be working this summer. Finally, only DOE staff are permitted to conduct make-up sessions. Reminder: Contractors do not have retention rights. All contractors/agency personnel require a 5-day notice if their service is not needed. Non-District 75 Secretary Training: A training will be held on Thursday, July 2, from 8:30 a.m. to 2:00 p.m., in the first floor Technology Room at the District Office, for all non-District 75 secretaries working in your schools this summer The purpose of this training is to familiarize them with the Chapter 683 procedures for both pupil accounting and payroll. One portion of the payroll training will include the Cybershift system. If you decline a Chapter 683 position on this roster and decide after June 1st that you would like to work, we cannot guarantee you a position.” It is essential that staff NOT change their commitments (either accepting or declining positions) after June 1st so that we can prepare accurate final rosters. In an effort to get the 683 staffing assignments to the field in the most expeditious manner, we appreciate your compliance with this protocol. February 23, 2009Leaves of Absence: Any staff member requesting a Leave of Absence for Chapter 683 for Summer of 2009 must fill out LOA application and attach appropriate documentation (medical, study, etc.). Application should be sent to Maria Velez at the District Office. Principals will be notified by e-mail if the LOA was approved by the Superintendent. This must be submitted PRIOR to the start of Chapter 683. NOTE: If a staff member does not have a LOA and does not work 683, he/she will not maintain retention rights. Para Requests: Please share the Para Manual you received at the December Principals’ Meeting and were sent electronically with all APs and appropriate staff. Follow all protocols when you request IEP mandated paras. Summer 2009 OTPS Start-up Allocation Summer school OTPS start-up allocations for this summer’s Chapter 683 Program has been allocated and posted to Galaxy. The startup funds are FY 09 dollars, this means these funds need to be spent no later than the encumbrance or SIPP processing deadline and that all goods and services purchase with these funds must be received no later than June 30, 2009. Funding: You are reminded that funding for Chapter 683 comes in two allocation categories Chapter 683 (70%) and TL Chapter 683 (30%). These funds have been scheduled for you as Supplies in two distinct line items. The Program Name entered for these items is CH 683 Startup. Attached, please find a copy of the allocation. Please note that the funding for Object Code 400 will be issued during the summer from FY 10 funds. Since July 4th falls on a Saturday this year, we were not getting either Friday or Monday off. Therefore, we decided to do start –up on July 1st and 2nd and then since we feared tremendous absence on July 3rd, we are not beginning actual program until July 6th.Please post these dates and share them with all staff in writing so that any professionals who will apply to work Chapter 683 are informed now of the calendar and can plan accordingly.October 13, 2008We are beginning to discuss our air conditioning needs for summer ’09 and where wiring will be necessary. We are aware of some sites that had difficulties last summer or where we had to move students to a cooler venue. Please e mail Bonnie what you see as your need for ’09. We have already been told that all requests cannot possibly be honored so we will be prioritizing where the need is greatest.
