Educators - Preparing to Implement SES in Schools

  • Print adequate supply of ATS labels for SES eligible students
  • Click here for instructions on generating the ATS labels
  • Once SES materials are delivered to your schools, please have staff affix labels to SES information.
  • Begin distribution of these materials to all eligible parents.
  • During the enrollment period, information about all providers (not only the providers that will be located in the school) must be made available to parents.

Parent Notification Letters

  • Print and backpack home the Parent Notification letter.
  • You will also receive a flyer promoting SES. Distribute this to parents as soon as it is available. Click here for other languages.

If the school has a parent room or center or even a table that is located where parents congregate, provider brochures and other materials should be displayed without preference to the provider programs that will located in the school.

  • Do not allow providers located in the school to have prominent displays (such as banners) in the school.
  • When the school schedules a provider fair, be sure to invite all providers, not just the providers who will be housed in the building.
  • The principal should ensure that provider information distributed at the school to parents is accurate (proper eligibility criteria, selection process, due dates, etc.) and, for those providers on-site, consistent with any arrangements made with the school (days & hours of instruction, room numbers, etc.).

  • Once you have selected a provider, download the revised engagement notice , fill it out with the provider and send copies the appropriate Integrated Service Center, the NCLB-SES Program Office at 65 Court Street – Room 1001 , Brooklyn, NY 11201, ATT: Sherry Hawn and to the Division of Contracts and Purchasing at 65 Court Street, Room 1201, Brooklyn, NY 11201, ATT: Susan Naste.
  • The letter that notifies parents of the providers in the building must use neutral language and only indicate the name(s) of the programs while reminding parents of their options to select any other providers.    

  Sample Letter to Parents Regarding Providers in School Building

  • Schools may not prohibit any provider from marketing their services or providing general information to the public about their SES programs.  Schools need to ensure that providers have ample time to market their services and that parents are able to make informed choices of SES providers.  Schools are encouraged to designate an area where SES provider information is available for parents to access.
  • Providers are permitted to recruit DOE teachers.  A waiver has been granted that permits NYCDOE teachers to work with contracted SES vendors as instructors only.  NYCDOE teachers hired by providers may not promote or recruit students for these providers and may not tell parents they are teaching in a particular SES program.  They may, however, encourage parents to enroll their children in SES.  Providers may also hire non-DOE certified teachers and other non-DOE staff, as well as former DOE staff who have more than one year’s separation with the DOE to work in your schools without restrictions.  Providers may not hire any other DOE staff, including supervisors, aides, school safety agents and parent coordinators.
  • Providers are required to ensure that their staff have been fingerprinted and have undergone a background check.   Please feel free to ask providers about the security clearances for any of their staff.  If you have any concerns, please notify your SES liaison.  Non DOE provider employees are required to wear photo IDs.
