PARENTS ASSOCIATION EXECUTIVE BOARD OFFICER DESCRIPTIONS

President:

The president shall preside at all meetings of the association and shall be an ex-officio member of all committees except the nominating committee. The president shall provide leadership for its members. The president shall appoint chairpersons of PA committees with the approval of the Executive Board. The president shall delegate responsibilities to other PA members and shall encourage meaningful participation in all parent activities. The president shall attend all regular meetings of the presidents' council or high school federation and shall be a core member of the school leadership team. The president shall meet regularly with the Executive Board members in accordance with these bylaws to plan the agendas for the general membership meetings. The president shall be one of the signatories on checks. The president or his/her designee shall represent the PA on district committees. The president shall assist with the June transfer of PA/PTA records to the incoming Executive Board.

st Vice President
: The vice-president shall assist the president and shall assume the president's duties in his/her absence or at the president’s request. The vice-president shall be one of the signatories on all checks. The 1 st Vice president shall supervise activities of the designated committees, as determined by the agreement with the President(s). The 1st vicepresident shall assist with the June transfer of PA/PTA records to the incoming Executive Board.

nd Vice President:
The 2 nd vice-president shall assist the 1 st vice president and shall assume the 1 st vice president's duties in his/her absence or at the 1 st vice president’s request. The 2 nd Vice President shall supervise the activities of designated committees as determined by agreement with the Presidents(s). The 2 nd vice-president shall assist with the June transfer of PA/PTA records to the incoming Executive Board. The 2 nd vice president is not a signatory on checks.

Recording Secretary

: The recording secretary shall maintain the official record of the proceedings and actions of all association meetings. The responsibilities shall include agendas, sign-in sheets and material distributed. The recording secretary shall prepare and read the minutes of each association meeting and shall make minutes available upon request. He/she shall maintain custody of the association's records and reports; however, copies shall be maintained in the PA office at all times. The recording secretary shall sign and incorporate all amendments into the bylaws and shall ensure that copies of the amended bylaws are on file in the principal’s office. The recording secretary shall be responsible for reviewing, maintaining and responding to all correspondence regarding the association. The recording secretary shall assist the treasurer with the June transfer of all PA/PTA records to the incoming Executive Board.

Corresponding Secretary

: The corresponding secretary shall attend to all correspondence. The responsibilities shall include sending notices ten (10) days prior to all meetings, both General and Executive Board; distribution of all materials, notices and email; keeping an accurate record of attendance for all meeting of the, both Executive and General; attaching all amendments to the permanent record of these by-laws and for sending amendments of these by-laws to the appropriate parties at the Regional Office, as well as to the Principal. This will also include sending names of the Presidents-Elect to the CSDA, and for giving the names and addresses of the officers to the principal.

Treasurer: The treasurer shall be responsible for all financial affairs and funds of the association. The treasurer shall also be responsible for maintaining an updated record of income and expenditures and shall be one of the signatories on checks. The treasurer, together with the President(s) and 1st Vice President shall have a key to the safe room as well as have the combination to the PA safe. Keys and combinations will be limited to no more than 4 officers at one time. PA checks must require two (2) authorized signatures on all PA accounts. The treasurer shall adhere to and implement all financial procedures established by the association. The treasurer shall be prepared to present and provide copies of financial reports at all association meetings. A summary account shall be published in each major issue of Pen & Ink. The treasurer shall also prepare and provide the January 31s' interim and June annual accounting reports. He/she shall make available all books or financial records for viewing by members upon request and for audit. The treasurer shall prepare all financial records and assist the secretary with the June transfer of all PA/PTA records to the incoming Executive Board. ****Also responsible to ensure tax returns are submitted as per IRS regulations. All records must be kept in the PA office.
