NEW YORK CITY DEPARTMENT OF EDUCATION

  Transitioning to Outlook Email

Division of Instructional and Information Technology
Office of E-mail Planning and Administration

On December 31, 2002, the free Internet webmail accounts donated by Apple Computer Corp. last year will terminate. We are greatly appreciative to Apple for their assistance and support to the teachers of the NYCDOE.

The Division of Instructional and Information Technology (DIIT) has arranged to extend Outlook services to all classroom teachers. Our goal is to give every DOE teacher an Outlook account by December 15, so that teachers, administrators and school supervisors will have access to common distribution lists, public folders, educational listservs and professional development information using one e-mail platform. We will be working closely with the Office of Instructional Technology (OIT) to provide support to teachers.

Saving your E-Mails
Sending a Change-of-Address
Verifying your new Outlook e-mail address
Logging in to Outlook Web Access (OWA)
Duplicate names in the directory
Changing your password in OWA

Following the steps listed below will make your transition a more pleasant experience:

You may want to save some of your Apple e-mail in anticipation of the change in accounts. Follow one or more of the options below to retain a copy of your existing Apple e-mail:

Option 1:
E-mail may be automatically forwarded to an existing e-mail account (ex. Outlook, AOL, HotMail, etc.). To do this:

  • Click on Options, then Forwarding
  • Enter an existing e-mail account

Option 2:
E-mail may be printed. To do this:

  • Select and Open the e-mail you wish to print.
  • At the pop-up window, click on the Print icon or select File/Print from the menu bar.

Option 3:
E-mail may be saved to a file. To do this:

  • Select and Open the e-mail you wish to save.
  • At the pop-up window, select File/Save As from the menu bar

And remember to let your colleagues know that your e-mail has changed. You can send e-mails individually, or you can send a "blanket" email to your entire address book by following the instructions below:

  1. From the Address Book main page, select Contacts or Groups.

Note: To select contacts across several Address Book pages and apply them as one group, you must click Save Selection on each page before moving from one page to the next.

  2. To select all contacts on a page, click Select All.
  3. Before moving to another page, click Save Selection.
  4. Continue this process until you've completed your selections.
  5. Click Compose on the main Address Book page to review your selections and to compose and send your message.

All TeacherOutlook E-mail addresses will contain the suffix "….@nycboe.net."

Your personal login will usually consist of your first initial + the first six characters of your last name (or your full last name if it is no more than 6 letters).

Please notice the word usually!

As you probably realize, in many cases there will be a duplication of logins. In these cases, a numeral will be added to each individual's login. (i.e., the logins for all individuals named Jane Smith, John Smith, etc. would be jsmith@nycboe.net, jsmith2@nycboe.net, jsmith3@nycboe.net, etc….)

Follow the easy steps below to ascertain your own personal login:

If you find that your account has not been created please contact your Regional Technology Manager or call the help desk at (718)935-5100

A list of all teachers’ user names (a.k.a. alias) and e-mail addresses has been sent to your school. Once you have your username, you can logon.

Your initial password consists of the last six digits of your social security number, with no hyphens, and no spaces. Please go to the following url:

https://mail.nycboe.net

Logging In
A dialog box like the figure below will appear:

  • Enter "district\" before your user name (aka alias) in the first space (There should be no spaces between characters.)
  • Enter your password in the second space
  • Click OK

You will enter the system and be taken to your Inbox.

With the recent addition of teachers to Outlook, there are many duplicate names in the database. Therefore, for identification purposes, all school-based personnel will have the ATS school (6-character) code appended to their display name in the Global Address List. This code has the format: district (XX)+boro (X)+school (XXX).

  1. Log into your mailbox.
  2. Click in the Shortcuts bar.
  3. At the next screen, scroll down to the password section and click

At the Internet Service Manager Screen:

  • Enter "district" in the Domain field
  • Enter your alias in the Account field
  • Enter your old password (last 6 digits of SS#)
  • Enter your new password
  • Enter your new password again
  • Click OK to return to your Inbox

Please check this site on a regular basis to obtain additional information as it becomes available.
